What is Google Apps for My Domain?
Google Apps for My Domain is a new service offering from Google designed to manage your business email accounts primarily. It also has options to create company intranet web sites, monitor your website traffic through analytics, have a company calendar, and a online document sharing area for editing text pages and spreadsheets.
What are the advantages to using it?
The biggest advantage to using Google Apps for My Domain is the gmail email features. Google's mastery of search is clearly evident when you search for messages in gmail because your search will complete in a split second, as compared to the long and dreadful processing bar you get in Outlook or other desktop mail programs. The next biggest advantage we like in Google Apps is the message preview you get. No longer do you just have to go by the email titles, but you also can read the first sentence of the email in the email overviews page. Here are some more things we like about Google Apps:
+ No worries about your company server crashing and losing all your emails
+ Personal company email address (i.e. @yourcompany.com)
+ Word, Excel and PDF file opening in Google Documents
+ Easy collaboration on Word and Excel files in Google Documents - multiple people can edit the file
+ 6.9gb of email storage per user account, and 20mb file attachment size max, quite generous.
+ Good spam filter
What are the disadvantages?
Honestly we have to nitpick here to think of anything. We are not paid by Google for this review either! The main disadvantage would be that your company no longer has exclusive control over company intellectual property on your own company server. If Google ever had a security breach, or decided to disobey company privacy policies they could do so. But this is not really a disadvantage of Google Apps, but for any online service you use.
How do I set up Google Apps for my domain?
Setting up Google Apps for my domain is quite simple. The first step involves creating your Google Apps account at their website. Next, you will be given email setup instructions to setup your mx records. MX records are part of your domain registration records and are usually modified by your web host. All you need to do is submit a support ticket to your web host with your mx record entries that Google gives you.
Next would be setting up Google websites if you want to use that feature. You can set it up to use your main web site, or a sub-domain of your website such as sub.mydomain.com. Google will give you the cname records to use for your domain name registration DNS servers, and again this is something that you can submit to your web host by a support ticket and have them take care of for you.
